DentCase is an offline-first dental case management app. This Privacy Policy explains what information the app handles, where it is stored, and the choices available to you. Patient records are designed to stay on your device, and an account is not required for normal use. Some optional features use Google services and a cloud database, as described below.
Quick summary
Patient names, contact details, age, gender, department and clinical notes, photographs, radiographs, appointments, and billing details are stored locally in DentCase’s private app storage on your device. We do not upload or host these records on DentCase-operated servers, and they are not included in service records, analytics events, or advertising requests.
Through DentCase, patient records leave your device only when you choose to:
DentCase does not separately encrypt the local database, image files, or app preferences. They rely on your device’s app sandbox, lock screen, and operating-system protections. Portable backup files you export are also not encrypted by DentCase, so store them securely. Your device’s operating system may separately back up app data—including local records—if you have system backup enabled; those backups are controlled by your device settings, not by DentCase.
You are responsible for obtaining any required patient consent and for complying with the healthcare privacy laws that apply to you. DentCase is a documentation tool, not a healthcare provider, and is not a substitute for your official records system.
You can use DentCase without an account. Google Sign-In is optional and is used for the registration step and Google Drive backup.
If you sign in with Google, Firebase Authentication and Google Sign-In process your Google account identifier and basic profile information (name, email address, and profile photo URL) to authenticate you. DentCase stores this profile locally. Signing out removes it from the device, but does not delete local cases or Google Drive backups.
To operate, secure, and improve the app, DentCase also sends a limited service record to a cloud database hosted by Supabase. A record is sent when the app first starts with internet access, when your public IP address changes, and when you complete registration. This happens whether or not you sign in. The record may include:
Service records do not include patient data, case notes, images, or billing amounts. We use them for service operation, diagnostics, security, regional defaults (such as currency), and reliability. They are not used for advertising or patient profiling. To suggest a default currency, the app may also send your IP address to a country-lookup service; this is skipped when you are offline or the country cannot be determined.
We retain service records only for as long as needed for these purposes, unless a longer period is required by law. You can ask us to delete records associated with your installation by contacting us.
If you sign in with Google and choose Back Up to Google Drive, DentCase uploads a full backup containing your local database and images to the private, app-specific appDataFolder in your Google Drive. The backup is stored in your Google account, not on DentCase-operated servers. Restoring a backup replaces the local cases and images with the selected version.
The app keeps a limited number of recent backup versions and automatically removes older ones. Backups are not separately encrypted by DentCase; their security depends on your Google account and device. You can revoke DentCase’s Google access or delete its hidden app data through your Google Account. Deleting the app does not delete Drive backups.
On Android, DentCase uses Google Analytics for Firebase (Firebase Analytics / GA4) to understand aggregate app usage, diagnose problems, and improve features. This analytics data is collected whether or not you sign in.
Firebase and Google Analytics may automatically collect and process:
We also set non-identifying user properties such as app settings, enabled features, app language, sign-in or registration status, and a broad case-count range.
We do not set your name, email address, Google account identifier, patient name, mobile number, case ID, notes, images, or exact billing amounts as a Google Analytics User ID or event parameter. Analytics data is not linked to your patient records.
Google processes this data under its own privacy policy and may process it outside your country. Analytics is disabled on desktop builds.
DentCase displays ads through Google AdMob on Android. AdMob may collect and use your advertising identifier, IP address, approximate location, device and app information, and ad interaction data to serve, measure, and limit ads. Depending on your region and device settings, ads may be personalized or non-personalized.
DentCase does not provide AdMob with patient records, names, email addresses, case data, or billing amounts. You can reset or delete your advertising ID and control ad personalization in your device’s advertising settings or in Google’s Ad Settings. Google’s advertising privacy policy explains how Google handles this data.
DentCase requests access only when needed for features you choose:
DentCase does not request access to your contacts, microphone, SMS messages, or precise GPS location.
We do not sell patient records, and we do not rent or sell your name, email address, or registration details. We share limited information only in these circumstances:
Patient records are never included in service records, analytics events, or ad requests.
Network connections use HTTPS. Local records are kept in the app’s private storage, cloud service records are stored in a restricted database that the app can only add to, and Drive backups are protected by your Google account. No method of storage or transmission is completely secure.
Retention:
Uninstalling DentCase removes local app data from the device, but does not delete Google Drive backups or cloud service records. Signing out does not delete local cases or Drive backups.
We do not sell personal information for money. If you are a California resident, you may exercise applicable access or deletion rights using the contact details below.
If you are a patient and want to access, correct, or delete a clinical record created in DentCase, please contact the dental professional or organization that created it. We do not have access to records stored on their device.
DentCase is intended for dental professionals and students and is not directed to children under 13 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has used the app or provided information to us, please contact us so we can delete the relevant service records.
Google and Supabase may store or process information in the United States and other countries. Privacy laws in those countries may differ from those where you live. Where required, transfers are made using legally recognized safeguards.
We may update this policy as the app or legal requirements change. The revised policy will be posted here with a new “Last updated” date. If changes are material, we will provide additional notice as required by law. Continued use of DentCase after an update means you acknowledge the revised policy.

For purposes of applicable data protection laws, this is the controller of the service records described above. Patient records are controlled by you on your device.
